Missed calls in small business: how many customers you lose, and how to win them back

More than you'd think. Across more than 70 million calls analyzed by Invoca, a call tracking software company, only 56% of people who call a business get to talk to a person; leaving out errors and hang-ups under 15 seconds, it's 65%. The reason is simple: a person answers the phone, and that person is already busy doing something else.

What percentage of calls go unanswered, by industry?

The range is wide. In a CallRail analysis of 1.1 million small business leads, the share of inbound calls that went unanswered runs from 9% in real estate to 32% in healthcare, with 28% for law firms and 14% for home services. Two caveats change what the number means: it's the share of calls with no answer, not of customers lost, and the base is the customers of a call tracking software company, so it isn't a representative sample of any country. It frames a problem; it doesn't promise a recovery.

What happens to callers who get no answer?

This is where the data runs out, and it's worth saying so. A statistic gets passed around claiming that 85% of people who don't get an answer never call back. CallRail's press release cited above repeats it too, but without saying where it comes from, and nothing in the published data backs it up. The same goes for dollar or euro figures on what a missed call costs. What you can honestly say is more modest and more useful: someone calling a service business has a problem right now, the next number in the search results is one tap away, and almost nobody leaves a voicemail to ask for a quote. If a missed call gets nothing back, the conversation isn't postponed. It's over, and the caller will never tell you.

What do missed calls cost you?

There's no single figure that fits everyone, and the ones going around have no source. Yours can be worked out from your phone's call log.

  1. Count the missed calls in a normal week, leaving out suppliers, numbers you know and people you already called back.
  2. Of those, mark the ones from new customers asking for a quote or an appointment.
  3. Multiply by the share of quotes you usually win.
  4. Multiply by the average value of a job.

The result is the work that slips away each week through a phone that rings while you're busy. It's an estimate built on your own numbers, which is why it says more than any average.

How do you follow up on a missed call?

  1. Call back within a few minutes, not at the end of the day. What holds for quote requests holds for calls too: the more time passes, the less likely the person is to pick up or to still need you.
  2. If you can't call back, send a text. A WhatsApp message to callers who rang from a mobile phone: who you are, that you saw the call, how you can help. Someone who was driving or in a meeting will reply when they can.
  3. Remember landlines and hidden numbers. They can't receive messages: for them, call back as soon as you can.
  4. Have your voicemail say what happens next. “We'll message you on WhatsApp” tells callers what to expect, instead of asking them for a message almost nobody leaves.
  5. Keep count. How many missed calls a week, how many you called back and how many turned into jobs. Your phone's call log is enough to start.

Vilmor's AI employee handles the second step on its own: when a call goes unanswered, it writes on WhatsApp to the person who called and takes the request, even while you're on a job site, in your showroom or at an event. How it works for your trade is on the pages for windows and doors, kitchens and furniture, weddings and events, and other industries.

Frequently asked questions

01What percentage of calls to a business go unanswered?

It depends on the industry. In CallRail's data on 1.1 million small business leads, unanswered calls range from 9% in real estate to 32% in healthcare. In Invoca's data, only 56% of calls reach a person, or 65% if you leave out errors and hang-ups under 15 seconds.

02How do you follow up on a missed call from a customer?

Call back within a few minutes, not at the end of the day. If you can't call back, send a message to callers who rang from a mobile phone: who you are, that you saw the call and how you can help. People calling from a landline or a hidden number can't receive a message: for them, you need to call back.

03Can you send an automatic text after a missed call?

Yes, with a service that picks up the calls forwarded from your number when you don't answer and writes on WhatsApp to callers who rang from a mobile phone. It's one of the tasks of Vilmor's AI employee. People calling from a landline or a hidden number don't receive the message.

04Does a virtual phone system fix missed calls?

Only in part. A virtual phone system routes calls between several people, but if they're all busy or the business is closed, the call still goes unanswered. The real problem to solve is what happens to the people who don't reach anyone.

05How do I work out what missed calls cost me?

Use your call log: the missed calls in a week, minus suppliers and numbers you know, times the share of quotes you usually win, times the average job value. Vilmor's ROI calculator makes a different estimate: from your monthly leads and a stated assumption on lost leads, it estimates the customers and hours you'd get back.
