AI for small business: what it can actually do, trade by trade
For a small service business, AI pays off most when it looks after customers: it replies to every request, follows up with people who go quiet, books appointments and reminds them. Not when it writes posts or copy. The work of a plumber, an auto shop or a dental practice runs on requests that arrive while you're busy with something else, and that's where customers get lost.

How many small businesses already use AI?
Few, and far fewer than large companies. In Italy, according to ISTAT, Italy's national statistics office, 15.7% of small and medium businesses with 10 to 249 employees used at least one AI technology in 2025, against 53.1% of large companies. Across all businesses with 10 or more employees, the share doubled in a year, from 8.2% in 2024 to 16.4% in 2025. Micro businesses with fewer than 10 employees aren't in the survey, so none of these numbers apply to every business in Italy.
One number says a lot about how businesses get started: a third of the companies that use AI don't name any part of the business where they use it. They try a tool, but they don't give it a specific job. AI for small business works the other way around: you start from a job that falls behind today, and you hand that job over.
How can a service business actually use AI?
Along the customer journey, from the first request to the review. These are small steps, one after the other, and each one depends on someone remembering to do it. It's work an AI agent can handle from start to finish: at Vilmor we call it the AI employee, and it works inside the Vilmor CRM, where you see every conversation.
| step | what the AI employee does |
|---|---|
| The request | It comes in on WhatsApp, your website, social or email, often while you're working. The phone stays with you. |
| The reply | It replies right away, asks the questions you'd ask (what's needed, where, when) and gives the estimate you've set. |
| The quote | The quote you prepare goes out in the chat; if the customer goes quiet, it follows up politely. |
| The appointment | It offers the open slots in your calendar and books the survey, the visit or the drop-off. |
| The reminder | The day before, it reminds the customer, and if they can't make it, it reschedules. |
| The payment | When the job is done, it sends the payment link, or the bank transfer details when the customer needs them for a tax deduction. |
| The review | It asks every customer for a review while the job is fresh in their mind. If something went wrong, it tells you right away. |
The price of the job, the diagnosis and the technical choices stay with you. Everything else changes: requests don't wait for you to leave the job site, and quotes don't stall because nobody called back.
What changes for plumbers and electricians?
Requests come in while you're under a sink. The AI employee replies, asks for the area, how urgent it is and a photo, gives the call-out fee and the price of the most common jobs at the rates you set, and puts the job on your calendar with the address and the photo; the day before, it sends a reminder. If it's a real emergency, like a leak or the power cutting out, it passes it to you right away with a summary. For bigger jobs, the quote goes out in the chat and, if the customer goes quiet, it follows up. A year later, it reminds customers who opted in about the boiler or air conditioner service. It works without a website too.
And for window and door installers?
Here you sell on the quote, and customers take weeks to decide. The AI employee replies to quote requests with the right questions (how many windows, which material, by when), books the showroom visit or the measuring survey with customers who are ready, and reminds them. When a quote stalls, it follows up to clear up doubts about materials and timing, before the customer signs with someone else. At signing, it sends the bank transfer details for the deposit, with the payment reference needed for the tax deduction, and after installation it asks for a review.
The AI employee for windows and doorsAnd for kitchen stores?
A kitchen gets chosen over several meetings, and in between the customer visits other stores. The AI employee confirms bookings from your website right away, asks for the floor plan, photos and budget the day before, and after the first visit it sends a recap and books the second meeting. When a design stalls, it follows up and brings the customer's doubts to the salesperson, without offering discounts. If the delivery date changes, it lets the customer know, and after installation it asks for a review.
The AI employee for kitchens and furnitureAnd for auto repair and body shops?
The phone rings while you're under a car. The AI employee asks for the model, the year and a photo of the damage; if the customer was hit by another driver, it asks for the accident report form and explains that, if they weren't at fault, they don't pay: under Italy's direct compensation scheme they open a claim with their own insurer, and the body shop handles it. It books the drop-off in the open slots on your calendar and sends a reminder the day before. You prepare the body work quote; it sends it in the chat and follows up. When the car is ready, it lets the customer know and, if they want, sends a payment link. And when the service, the inspection or the tire change is due, it reaches out to customers who opted in.
And for dental practices?
Patients write in the evening and on weekends, often to several practices. The AI employee replies right away, in a formal tone, gives the price of the first visit, offers the open slots and sends a reminder the day before. It only handles appointments and practical information: pain, emergencies and questions about treatment are off limits, and it passes the conversation straight to the practice. After a treatment plan, it follows up to book the next step, and six months later it reminds patients who opted in about their cleaning. The front desk stays free for the people in the chair.
And for wedding venues and caterers?
Couples ask several vendors about the same date on the same evening, and they choose among the ones who reply well and first. The AI employee answers availability requests with the questions that matter (date, guests, budget), books the venue tour or the tasting, and when the couple goes quiet after the price list, it follows up with a single question. Once they confirm, it sends the bank details or the link for the deposit; after the event it asks for a review, which the next couples will read.
The AI employee for weddings and eventsWhat should AI not do in a small business?
- Pretend to be a person. In its first reply, the AI employee says it's an AI, as the European AI regulation (AI Act) requires.
- Make decisions for you. No diagnoses, no clinical or technical choices, no prices you haven't set.
- Hold on to the customer when a person is needed. An emergency, a complaint, a question it can't answer: the case goes to the owner, with a summary.
- Push. It follows up when a request stalls, and stops when the customer says no.
Where do you start?
With one job: the one that falls furthest behind today. For many businesses, it's replying while they work; for others, it's following up on quotes or reminding customers about appointments. The AI employee has several tasks, and you switch on the ones you need: you decide the rules, the tone and what it can say when you get started. The simplest way to see how it works is to talk to us.
If your trade doesn't have its own page, the journey is the same: other industries.
Frequently asked questions
01Does AI replace my business management software?
No. Invoices, stock, jobs and records stay in the software you use today. The AI employee looks after customers in the Vilmor CRM, alongside it: it replies, books appointments, reminds people and follows up with anyone who goes quiet.
02Do customers know they're talking to AI?
Yes. In its first reply, the AI employee says it's an AI. European law requires it, and we'd do it anyway.
03Do I need a website to use it?
No. The AI employee replies on WhatsApp, Facebook, Instagram and email: your website is just one more way in.
04How much does it cost?
It depends on how many tasks you switch on. We tell you on the call, once we understand what you need, before you decide anything.
